Reversing Client/Trust to Office Transfers
Overview
This guide explains how to:
- Reverse an individual Client/Trust-to-Office transfer
- Reverse an entire bulk transfer
- Correct one item from a bulk transfer using Unlink Receipt
The term Client/Trust is used throughout to accommodate terminology across jurisdictions.
Unlink Receipt removes an Office receipt allocation from a specific invoice. It does not reverse the original Client/Trust Payment or Office receipt.
Choose the Correct Action
| Scenario | Action |
|---|---|
| An individual transfer is incorrect | Reverse the Client/Trust-to-Office transfer |
| The entire bulk transfer is incorrect | Reverse the linked bulk transfer |
| One invoice item within a bulk transfer is incorrect | Use Unlink Receipt, then post an Office-to-Client/Trust transfer for that amount |
Reversals and unlinking actions are recorded in the audit trail.
Reversing a Single Client/Trust-to-Office Transfer
Use this process where the transfer was originally posted as an individual transfer, rather than as one item within a bulk transfer.
| Step | Action |
|---|---|
| 1 | Open the relevant Matter. |
| 2 | Select Matter Actions → Client/Trust Ledger. |
| 3 | Select Client/Trust Cash Account → Ledger Entries. |
| 4 | Open the relevant Client/Trust-to-Office Transfer. |
| 5 | Select Reverse. |
| 6 | Review or amend the Reversal Date. |
| 7 | Enter a clear Reason. |
| 8 | Select Reverse to complete the reversal. |
The corresponding sides of the linked transfer are reversed and the affected ledgers update immediately.
Managing a Bulk Client/Trust-to-Office Transfer
Reverse the Entire Bulk Transfer
Use this process when the whole bulk transfer is incorrect.
| Step | Action |
|---|---|
| 1 | Go to Accountant Dashboard → Pending Transfers. |
| 2 | Select History. |
| 3 | Locate the required bulk transfer. |
| 4 | Select the ellipsis beside the transfer. |
| 5 | Select View Receipt Transaction or View Payment Transaction. |
| 6 | Select Reverse. |
| 7 | Review or amend the Reversal Date. |
| 8 | Enter a clear Reason. |
| 9 | Select Reverse to complete the reversal. |
Reversing either side of the linked transfer reverses the corresponding Client/Trust payment and Office receipt.
If the transfer affects multiple ledgers, review the affected ledgers shown in the confirmation message before continuing.
Correct One Item From a Bulk Transfer
Do not reverse the entire bulk transfer when only one invoice allocation is incorrect. Instead, unlink the relevant Office receipt from its invoice.
| Step | Action |
|---|---|
| 1 | Go to Accountant Dashboard → Pending Transfers. |
| 2 | Select History. |
| 3 | Locate the relevant bulk transfer. |
| 4 | Select the ellipsis, then select View Receipt Transaction. |
| 5 | Open the Ledger Entries tab. |
| 6 | Locate the entry for the relevant invoice. |
| 7 | Select the Unlink Receipt action. |
| 8 | Enter the Date and a clear Reason. |
| 9 | Select Unlink. |
| 10 | Post an Office-to-Client/Trust transfer for the amount being returned. |
The unlink date cannot be earlier than the original receipt date.
What Unlink Receipt Does
Unlinking the receipt:
Removes the receipt allocation from the selected invoice
Reopens the corresponding invoice balance
Returns the amount to the matter’s Office funds
Leaves the original bulk payment and receipt transactions posted
Records the change in the audit trail
Once an item has been unlinked from a bulk transfer, the original bulk transfer cannot subsequently be reversed as a complete batch. Any required correction must be completed using the appropriate individual transfer workflow.
The user must have the Unlink Receipt permission to see and use this action.
Best Practices
- Confirm whether the correction affects the entire transfer or only one invoice allocation.
- Use Unlink Receipt only when correcting an individual invoice item from a bulk transfer.
- Post an Office-to-Client/Trust transfer after unlinking where the money must be returned.
- Review the reopened invoice balance after unlinking.
- Enter a clear Reason for every reversal or unlinking action.
- Review all affected ledgers before reversing a bulk transfer.
- Confirm that the user has the required reversal and Unlink Receipt permissions.
